Onboarding and Training [To Be Completed by Accepted Volunteers Only]

Streamlined Volunteer Onboarding Process:

(NOTE: KodeConnect needs to create a YouTube channel to house volunteer training content only)

STEP 1:

Application & Paperwork - Required application and paperwork that volunteers need to complete prior to starting. (Completed during app process)

●      Submit Basic info via the app

●      Read, complete, and sign the volunteer authorization form

●      Read, complete, and sign the volunteer release of liability and photo release form

●      Read, complete, and sign the criminal offender record information (CORI) acknowledgment form

●      Read and sign the volunteer handbook

●      Read and sign the HR policy and procedures acknowledgment form 

[A draft of all forms has been submitted to Jackie for review. An HR policy and procedures document and/or manual needs to be created]

NOTE: All finalized forms need to be converted to PDF and made so that volunteers can type their info directly into the form (fillable PDF). - If you don't do this, it could reduce the # of interested volunteers who complete the app process due to the number of forms required. - If you don't have the software to do this, use the 30-day free trial offered here.

Step 2: 

Welcome to the Team! - Two-way intro to the team and overview of the onboarding process

●      View/Read a warm welcome from KodeConnect (Would love to include a video)

●      View the existing team’s role, responsibilities, key contacts info

●      Add your info to the volunteer directory 

●      Introduce yourself in the KC slack channel

●      View onboarding agenda and targeted start date

Volunteers,

Welcome to the KodeConnect Volunteer Family! We are glad to have you and look forward to making this experience enriching and valuable for you. Please take a couple of minutes to watch our welcome video here [insert video link]

NOTE: The welcome video should start with a couple of KodeConnect team members welcoming volunteers and expressing their gratitude for the presence of volunteers. Also, make sure to acknowledge the fact that the KodeConnect team is as invested in the needs of volunteers as they are in the organization. From there, a quick rundown of the onboarding process should be given. Make sure to include an anticipated timeframe for completion. The video should end by telling volunteers what to do immediately after watching the video and noting who the primary contact is should they have any questions and/or issues during the onboarding process. [Do all of this consciously]

View the existing team’s role, responsibilities, and key contacts info - can this page be updated to display all this info when you click on everyone's name? If so, update and include the link to this page for his part. 

Add your info to the volunteer directory - [Create a Google doc to act as a working volunteer directory. Give volunteers access to this doc so that they can add their info]

Introduce yourself in the KC slack channel - [ADD KodeConnect Slack invite link]

View onboarding agenda and targeted start date [ADD content. It can be created via Google Drive and linked to this page to access]

Step 3: 

Our Organization & Your Role as a Volunteer - Learn about KodeConnect and the volunteer role

●      Watch the founding story (would love a video from Eval)

●      Learn about success to date and future goals

●      Review your role as a volunteer (position-specific)

●      Take short quiz

[Eval can create a short story about founding KodeConnect via youtube. ADD the link to vid here]

[Create something similar to this on the volunteer Youtube page that highlights updated success and goals]

For "review your role as a volunteer" - this can be as simple as embedding a link to a folder in Google Drive with all the volunteer roles and having volunteers access their role & job description again that way.

Step 4: 

Training and Meetings - Required training and meetings prior to start

●      Review training requirements and deadlines

●      Complete online training (would love to include a video)

●      Review FAQ

●      Sign up for in-person training

[Online training - based on your convo with Jackie, create a standardized online training video(s) on YouTube and ADD links to vids here]

[FAQ - you won't get a good idea of FAQ until you have new volunteers go through this process. I suggest adding some anticipated questions that may arise. I suggest speaking with Robyn Belair and Mark Nakib (current volunteers) for suggestions]

Step 5:

Start! - Officially join the team

●      Confirm your start date

●      Start

[ADD directions to ping Jackie or the primary point of contact for training via Slack or via email (whichever method is preferred) to confirm start dates for volunteers


NOTE: To keep the font consistent with the other pages, when the content is finalized, make sure the font is set to "big" font. From the icon that lets you change the font on here go to "styles" > under "inline" styles click "big". 


NOTE: Once this page has been built, you need to go back into your account on VolunteerMark, go back to edit the role, and check the box “make this position private”. This option will hide the onboarding page from the public. Only volunteers who have been invited to view the page will see it.
